Terms & Conditions and agreement between the seller of services:
Iceland Exclusive Travels (hereafter IceXtravel) and the passenger.
1. General Conditions
1.1 Iceland Exclusive Travels (here after IceXtravel) disclaims responsibility for any loss, damage, accidents, or sickness that might occur during our tours. The same applies for any changes in tour schedule due to weather, strikes or any other irregularity outside IceXtravel's control.
1.2 IceXtravel reserves the right to alter routes, itineraries or departure times, without prior notice, should the necessity arise. In case of any changes in flights (domestic and international), the passenger has to pay any additional cost caused by this, at the time the service is provided (extra hotel nights, meals, transfers etc). We advise all clients to have insurance, as clients are on their own responsibility on optional tours.
2. Bookings
2.1 Bookings for individuals and small groups can be done online through our website. If any problems are encountered while booking please send an e-mail to villi@icextravel.com . Private Tour bookings can be made via e-mail.
3. Terms of Payment
3.1 Full payment is required when the passenger books a service by IceXtravel, the booking is confirmed when the payment goes through.
4. Validity of Prices
4.1 All rates quoted or shown in our tariffs are fixed and in ISK.
4.2 After the invoice has been issued the price is guaranteed against any surcharge, unless an increase is due to government laws or currency changes.
5. Cancellation
5.1 All cancellations must be made in writing (e-mail for instance), in conformity with business practices within the Icelandic travel industry.
5.2 10% of tour prices is non refundable, this percentage reflects cost of booking & preparing the tour.
5.3 Cancellations made more than 14 days prior to departure: 90% refund
5.4 Less than 14 days but more than 48 hours: 50% refund
5.5 Less than 48 hours notice: No refund
5.6 No-show at pickup: No refund
5.7 Please note that cancellation of one or more passengers within a private group may cause a price increase for the remaining passengers within the group, as fixed cost will be divided between fewer people.
5.8 If IceXtravel cancels a tour the passenger will get a full refund.
6. Travel insurance
6.1 We strongly recommend that the passenger have travel insurance. The passenger must follow the instructions of guides at all times. Note that road pathways and surfaces can be slippery.
7. Privacy policy
7.1 All personal information will be strictly confidential and will not be given or sold to a third party.
8. Medical conditions
8.1 When the passenger books a trip, he/she must notify IceXtravel of any medical condition or any relevant medical history and any medications. In particular, asthma, diabetes, heart conditions and allergies (including food allergies).
9. Liability
9.1 IceXtravel reserves the right to alter routes, itineraries or timetables should the necessity arise, including irregularities due to adverse weather or road conditions.
9.2 No responsibility is taken for losses or expenses due to delay or changes of flights, injury, damage, negligence, weather, natural disaster or other unforeseeable causes.
9.3 The estimated duration of tours as indicated on our website are standard times and can vary according to road or weather conditions. Punctuality is a key objective in IceXtravel tours. However, delays may occur for unforeseen reasons. IceXtravel cannot be made responsible for losses that a passenger may face due to delay, regardless whether the loss is direct or indirect.
10. Client responsibilities
10.1 All tours are undertaken on the responsibility of its participants. IceXtravel does not assume any responsibility for accidents that are caused by its customers or can be traced to their own actions.
10.2 With any outdoor activity, there is an element of risk. IceXtravel operates in remote and mountainous areas. Risks could include hypothermia due to adverse weather conditions, or personal injury or property damage from hiking over rugged and uneven terrain. The staff and management of IceXtravel take all practicable steps to identify and minimize potential dangers. However, the passenger must follow our instructions (and use the safety equipment provided) at all times.
10.3 Adults accompanying any person under the age of 18 must ensure that the underage person follows our instructions at all times. The passenger must release or indemnify IceXtravel and our staff against any liability we incur to anyone else, resulting from failure to follow guide instructions or the failure of any person accompanying the passenger under the age of 18 to follow guide instructions.
10.4 IceXtravel reserves the right to exclude a person from a tour at any time if, in the opinion of the guide or operator, that person may be likely to risk the health, safety, or comfort (because of unsociable behaviour) of him or herself, other clients, or the environment.
In such circumstances IceXtravel will not be obliged to offer any refund or transfer of ticket.
11. Comments or complaints
11.1 IceXtravel goal is to provide solid and professional customer service. Should our clients be for any reason dissatisfied with the service provided, either by us or by our partners, we wish to hear about such as soon as any incident arises.
11.2 Should our client be unable to do so at the time, we request that this is done as soon as possible by e-mail, not more than 20 days after departure from Iceland. If complaints have not been placed within that time frame, compensation rights may be jeopardized.

12. Governing law / Jurisdiction
